SharePoint Document Management

Although we live in a world that is moving steadily towards the “paperless office” the question of document management is far from resolved. If anything, the electronic working environment adds a whole new series of concerns and pitfalls. The SharePoint Document Manager is one of the modules present on the SharePoint platform. The process we follow in order to establish a practical and usable SharePoint document management system is to make use of a series of additional SharePoint components. We do this in order to build a SharePoint system that takes users and their possible requirements into account. Our methodology follows the logical steps that any company must take. More importantly we take pains to understand the unique requirements of each individual company before we begin development. If we find that there is a requirement that cannot be fulfilled with an existing SharePoint Tool, we simply write a Custom Web Part that is compatible to the system. 

The questions that we ask and make allowances for in our SharePoint Construction of a Document Management System include:

- What templates would be required for what types of Documents?
- Once in the system, which criteria should they be stored under?
- Who would need access to which documents?
- What Meta-Data would be required in order to access the document most effectively?
- How will access to the document be controlled at any point in its process through the system?
- What “viewing and/or signing off” system will the document need to be subject to? (i.e. several members of a team needing to see something, several managers needing to sign off etc.)
- Auditing of documents, tracking of documents and proper storage of the document once it is no longer required.

The process or “life-cycle” of any document should be carefully planned in order to have it available when required but also stored where it will be found again.
Disposal of documents that are obsolete and have no archive value is also an issue for careful consideration. By putting together all the elements we know about document management systems and building a framework around what the company will need and what SharePoint Document Manager has to offer, we can create a system that works organically.
